The problem

Education sites carry an unusual amount of content for an unusually anxious audience. A parent or applicant is looking for one specific fact — a deadline, a requirement, a number — and the site is organised by department rather than by the questions people arrive with.

So the same enquiries arrive by phone and email every year on the same schedule, and every one of them is answered by reading out something already published.

The prospectus counts as content

Alongside your website, TeklTalk takes uploaded documents — PDF, Word, Markdown and plain text — so a prospectus, a fees schedule or a term-dates sheet can be indexed rather than left as an attachment nobody opens.

Scanned documents are the one exception: a PDF that is images of text has no text to extract, and TeklTalk will say so rather than index an empty file.

Deadlines that come with a link

Every answer links to the page or document behind it. For anything with a date or a fee attached, that is what makes the answer usable — an applicant can check it against the official page instead of taking a chat box's word for a deadline.

It stops rather than guesses

When the question is not covered by your content, no answer is generated at all. The visitor gets the message you wrote — typically pointing them at the admissions team.

For an institution, that is the important property. A confidently wrong entry requirement is worse than no chatbot at all.

Common questions

Can it read our prospectus PDF?

Yes, as an upload. PDF, Word, Markdown and plain text files are accepted, up to 10 MB each. A scanned PDF that contains images rather than text cannot be read, and is rejected with an explanation rather than indexed empty.

What happens if a student asks something personal, like their own results?

It has no access to student records — it answers only from the content you index. A question like that will not match your content closely enough, so the visitor gets your fallback message, which is the right place to point them at the right team.

How long are conversations kept?

The text of conversations is kept for 7 days and then erased automatically. Counts and metadata are kept longer so the analytics still work, but the questions and answers themselves do not persist.

Can we change the wording it uses when it doesn't know?

Yes. The fallback message is yours to write, per widget, and is what a visitor sees whenever the question is not covered by your indexed content.
