TeklFlow privacy policy

Who we are

TeklFlow is a product of TeklTalk. This policy covers TeklFlow only; our website chatbot product, TeklDesk, has its own policy.

Two kinds of data, and who decides about each

• Your account data (your name, email address and sign-in details): TeklTalk decides how it is used, to run and secure your account.
• Your customer data (the contacts, WhatsApp messages, notes, deals and automations in your workspace): you decide what goes in and why. We process it on your behalf, only to provide TeklFlow to you.

What we store

• Account details and your team members' roles.
• The contents of your workspace: contacts, tags and custom fields, conversations and messages (including media), internal notes, deals, templates, broadcasts and automations.
• Credentials you give us, such as your WhatsApp access token and any AI provider key. These are stored encrypted. API keys you create are stored hashed.
• Operational logs needed to keep the service running and secure.

WhatsApp and Meta

TeklFlow sends and receives messages through Meta's WhatsApp Business Platform. Meta processes those messages under its own terms and privacy policy, separately from us.

AI features

AI features are optional and use a provider and key that you configure. When you use them, the relevant conversation text and knowledge-base content is sent to that provider to produce a reply. We do not send your data to an AI provider unless you set one up. The provider's own terms and privacy policy apply to what it receives.

Usage analytics

The TeklFlow app uses Google's Firebase Analytics to count which screens are opened, so we can see what is used and what is not. It receives the name of the screen only: ids, invite links, query strings and message content are removed before anything is sent. We do not attach your name, email, contacts or messages to it, we turn off Google's advertising features, and we honour your browser's Do Not Track setting. Google processes this data under its own terms.

Who else processes data

We use infrastructure, database and email-delivery providers to run TeklFlow. They process data only to provide those services to us. We do not sell your data.

Separation and security

Each account's data is kept separate using row-level security in the database. Credentials are encrypted at rest, incoming WhatsApp webhooks are signature-checked, and the API is rate limited. No system is perfectly secure; if we learn of a breach that affects you, we will tell you.

Keeping and deleting data

We keep your workspace data while your account is active. To delete your account and its data, or to ask about a specific record, contact us and we will help.

Your responsibilities

If you message people through TeklFlow, you are responsible for having a lawful basis and the consent WhatsApp requires, and for answering your own customers' requests about their data. We will help you do so where we can.

Your rights

Depending on where you live, you may have rights to access, correct or delete your personal data. Contact us to exercise them.

Changes to this policy

If we change this policy in a way that matters, we will update the date above.
